Define the task before comparing features

Write down who performs the task today, where it starts and what counts as a finished result. Keep the example simple enough to walk through during a demo. Use fictional information rather than uploading a real customer list.

Ask for the whole route

For an illustrative inquiry workflow, ask to see an inquiry arrive, the receiving record and the next action assigned to a responsible person. Then ask what happens if that person is unavailable.

Treat this as a requested demonstration, not a statement that every product already provides the workflow. A vendor might demonstrate standard behavior, describe a configuration step or propose custom work. Those answers belong in different places in your notes.

For each step, record one of four states: observed, documented but not tested, proposed or unavailable. Include the date and the environment demonstrated. A sample account is useful evidence of the sample experience; it does not prove your account is connected.

Separate the software from the work around it

Ask who will configure the workflow, review its wording, maintain it and handle failures. If a setup service is offered, ask which parts it includes and which require someone on your team.

Request a written summary of the recurring system price, one-time setup work and applicable usage charges. This makes it easier to compare proposals that divide responsibilities differently. Avoid turning an unanswered question into an assumed inclusion.

Agree on a small verification step

Before putting the process into everyday use, define a test using synthetic information. Specify what should arrive, where it should appear, who should see it and what should happen if a step fails. Prevent test messages from reaching real customers.

Ask how your team can access its records and recover from a failed connection. Record the actual answer and any remaining limitations. Do not describe a proposed recovery procedure as tested until someone has performed it successfully.

Leave with a decision record

A useful demo ends with a short list: the task demonstrated, evidence observed, required setup, responsible owners, costs and unresolved questions. That gives you something concrete to compare and a clear reason to proceed or investigate further.
